Ask for handover records while the sub is still on the job.
A subcontractor closeout document checklist turns the contract’s handover requirements into named requests. Start it when you award the scope, then collect records as the work is completed.
Build the list for each trade
Use the contract and specifications to decide what applies. A starting list might include:
- Manufacturer and workmanship warranties.
- Operation and maintenance manuals.
- Record drawings or required markups.
- Testing, inspection, and commissioning records.
- Owner training records.
- Required certificates and sign-offs.
- Spare-parts and equipment schedules.
Keep financial closeout documents in the accounting review. A completed manual does not settle a disputed final payment.
Name the file and the reviewer
“Send closeouts” gives the sub too much to guess. Ask for the exact system, document, format, and due date. Assign the person who can confirm it is useful.
Please upload the operation and maintenance manual for [installed system] by [date]. Include the installed model, maintenance schedule, and warranty contact. [Reviewer] will check it for the owner handover.
Review the contents
Check that manuals match installed equipment and drawings include the required revisions. Confirm warranty contacts and the stated start date against the contract.
For example, a generic product brochure may describe five models while only one is installed. Ask for the relevant manual before calling the requirement complete.
Keep requests moving through handover
- Set requirements when awarding the subcontract.
- Collect available records during the work.
- Return incomplete files with specific corrections.
- Confirm accepted versions before owner delivery.
